Docketing Specialist

Job Description

We are seeking a detail-oriented and knowledgeable Docket Specialist to join our team. This role is responsible for accurately reviewing legal correspondence and entering case details and deadlines into the firm's docketing system, ensuring compliance with U.S. and international intellectual property and litigation procedures.


Key Responsibilities

  • Review and analyze incoming correspondence to determine appropriate docketing actions and deadlines based on U.S. and international patent, trademark, and litigation rules.
  • Accurately enter due dates and case details into the firm's docketing database, referencing USPTO/PTAB/TTAB filings and client or foreign associate instructions.
  • Assist with the intake and review of new, original, and transfer-in matters, ensuring complete and accurate data entry.
  • Monitor and clear docketed items in accordance with established firm procedures.
  • Identify and resolve discrepancies in PTO correspondence, filings, or other documentation.
  • Communicate effectively with attorneys and legal support staff regarding docket-related matters and deadlines.
  • Use the fax server system to identify, docket, and route incoming faxes appropriately.
  • Provide coverage during assigned holidays.
  • Perform additional duties as assigned.

Qualifications

  • Associate degree required; minimum of 2 years of relevant docketing experience.
  • Strong understanding of U.S. and international patent, trademark, and litigation procedures.
  • Experience with docketing software; familiarity with Computer Packages, Inc. (CPi) is a plus.
  • Proficient in Microsoft Office Suite.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities under pressure.
  • Strong organizational, communication, and interpersonal skills.
  • Flexible and adaptable to changing assignments; eager to learn and take on advanced responsibilities.
